Booking Conditions
IntroductionBrathay Exploration Group's programme of expeditions tends to have routes and destinations in remote areas where facilities normally associated with a populated area of a Western style country are lacking. Your leaders will do their best to provide the expedition as described in this brochure, but an expedition carries a risk that accommodation, schedules and other parts of the programme may be subject to alterations beyond our control and occur at short notice. Such possible changes are part of the challenge of any expedition, we assure you that changes and local difficulties will be dealt with by our leaders as best they can.
BookingWe require a completed application form, medical questionnaire and membership fee with your deposit, before the office can forward your application to the expedition leader for selection. The deposit required is given on each expedition description sheet. We will acknowledge your application and then respond as promptly as possible to either confirm a place on the expedition or refund your deposit in full. Further details are given on our application form.
PaymentExpedition priceYour deposit is held by us as a part payment of the full cost of the trip. The full expedition cost must be paid ten weeks before departure date, except in the case of a number of our long-haul expeditions, costing £1,000 or more, for which half the outstanding cost will be required by the end of March.The specific dates for payment are given in our letter confirming your place on the trip.
If you are accepted for an expedition/course, but have to pull out for whatever reason, or if you do not pay the full amount at the time specified, any money paid is not refundable except as specified by the insurance cover summary. In the unlikely event of a venture being cancelled, members will be notified at least ten weeks prior to its advertised departure date, and a full refund made. In very exceptional circumstances ie. war or threat of war, strikes, natural disaster, civil unrest, quarantine, or other uncontrollable circumstances, we may be obliged to cancel less than ten weeks before departure. In such circumstances we shall seek to offer you an alternative venture.
Air travel priceWe have indicated a guide price for air travel at the bottom of each expedition page in this brochure. When sufficient members have been enrolled we will reserve air tickets and issue you with the relevant information and an invoice detailing the payment required. Flights will be booked with ATOL holders for whom we act as agents and the flight bookings are therefore subject to their booking conditions. When a flight booking has been accepted by us we will issue you an ATOL receipt. A contract will exist between you and the ATOL holder once they have issued a confirmation invoice which will be sent directly on to you. All other arrangements offered by us are provided under a separate contract from the flight arrangements and will be invoiced separately.
SurchargeAs we are a non-profit charitable organisation our expedition and course fees are to a large extent the actual cost of your place on that venture. We may require a small additional fee on some expeditions which would be limited to the actual increased cost to the Brathay Exploration Group, of aviation fuel, governmental action, currency, overflying and airport charges. We have in the past never had need to apply any surcharge and we expect to continue this practice provided that no significant unexpected external costs are applied.
Passport and VisasIt is your responsibility to ensure that you are in possession of a passport valid for all countries to be visited. A visa may be required for your destination, and your expedition leader will advise you if you need to take any action.
HealthYou must ensure that you have had all the necessary inoculations and health checks, your own doctor will be able to advise you. The expedition leader or our Honorary Medical Adviser will also send you details of any health hazards as part of the expedition's further information, when your place is confirmed. You must also complete the enclosed medical questionnaire, which is designed to ensure any special needs you may have are planned for on the venture.
ComplaintsShould you have any complaint whilst on an expedition or course, please inform the leader immediately. If the leader is unable to provide a remedy, we ask that you make the complaint known to the office in writing within 14 days of your expedition/course ending and we will do our best to respond positively. The booking details and any matters arising from it are made subject to, and must be interpreted and enforced according to, English law in an English court.
InsuranceThe expedition/course fee includes comprehensive cover on Brathay Exploration Group policies against loss of baggage and personal effects, accident, death and personal disablement. Full details of the policy will be sent to successful applicants, or on request.
If your expedition is to a destination outside the U.K., the fee is inclusive of travel insurance, medical expenses, cancellation and curtailment. Please note it is your responsibility to ensure you receive a statement of cover from us and acquaint yourself with the terms and conditions. In the case of any claim the policy wording alone shall prevail.
Leader's authorityThe expedition/course leader has full authority, and you are required to abide by this authority during the expedition/course. If in the opinion of the leader your health or conduct are at any time before or after departure, affecting the team's safety, welfare and enjoyment, or you commit any illegal act, the leader may dismiss you from the expedition/course. In such a situation you will bear any associated costs and have no cause for complaint or refund.
